Good afternoon and welcome to UCI financial aid offices summer information session. We're going to get started in just a minute here. I'm going to give another minute or two for people to get logged in, and then we will get started, thanks.
OK, well we have a lot of information to get through today, so I'm going to get started again. Welcome to UCI financial aid offices presentation webinar on summer session. I'm going to go through a lot of information today so please bear with me and if we have time for questions at the end I will leave that for some questions.
Uh, this session is going to be recorded so we can post it later to listen to so that anyone didn't get a chance to sign in and listen to it. Now you can let it another friend or other student know and we will post it to our website later on. So let me start today with by saying that for introduction.
Talk about summer in generally first before we get into the financial aid piece. Summer is a nonstandard term. It's separate from fall, winter, and spring and has its own awarding rules and formulas. So financial aid received during the academic year will likely, during the academic year, will likely be very different from financial aid received for the summer. The application for summer financial aid relies on the information from your fasa, but you must also apply specifically for summer aid if you wish to see.
What you are eligible for in summer?
Uh, I wanted before I really get into it. I want to have some disclaimers up front. One is that I will be using general statements for costs and dates so as to keep this as non 8 year specific as possible so that this information can be used from year to year. Additionally, specific dates and information about summer is usually posted on our website and the summer sessions website as well before summer's term start. So please check there For more information each year.
Uh, a lot of what I will be going over, uh, is information pertaining to the pay for 8 summer session structure and how financially it has adapted to it. If at any point in the future of the University shifts away from this structure, some of this information, particularly regarding the financial aid awarding process, may become outdated or irrelevant, and then I will also be using the term financial need. This is a specific term that describes how much need a student has based on the information on the FAFSA.
And is used to determine eligibility. It is not a subjective term. I understand that some students may feel they have more financial need than others, or that their situation in real life is not accurately reflected. On the Pfaff set. But our office axis stewards of both federal and state, as well as UCI institutional based financial aid, and we are required to award everyone the same based on a multitude of policies and the application information that we have for each given student.
With that I'm going to start with, so pay for eight. I mentioned you say UCI utilizes a pay for 8 system, which means that students are charged for summer classes on a per unit basis up to 8 total units. This essentially means that after 8 units any additional units can be added at no cost, so that taking 2 four unit classes is no difference in expense from taking 4 four unit classes for summer. The good thing about this is that summer is overall a more affordable way to take classes towards completing your degree.
The bad thing is that due to Somers low cost, the institutional financial aid available as in the UCI grant potentially for summer, is also less. There is a non refundable fee with summer In addition to the per unit cost of up to 8 units. The non refundable fee has traditionally been around $180.00. This fee is included with the cost of your classes and as you may have determined by its title it is non refundable once you have enrolled in classes for summer session you are committed to paying this fee regardless of whether you drop your classes.
Or cancel your summer enrollment at anytime before or during the turn.
Um, summer is broken up into three sessions. Session one is usually late June through the end of July. Session 10 week is usually end of June until early September and session two is usually early August until mid September, despite there being three sessions. Summer is treated as one complete term.
Uh enrollment summer in class enrollment generally opens around the first week of March. The financial aid application is also usually available around this time, although there have been delays in getting it ready for students to use in time for summer session class enrollment, so it doesn't always occur at the same time, but we try to get as close as possible.
Students can enroll throughout spring quarter an into summer and to check in with the summer session office with questions or concerns about the availability of their summer classes. Summer or sees me students have two options at the start of summer. Open enrollment option one and the students can enroll in what classes they would like and pay immediately by card or bank account for the classes they wish to take. The student can then apply for financial aid at a later date or when available.
When the application is available and then see what their eligible for option 2 is that you apply for financial aid 1st and then enroll after enroll in classes. After you've already become the application process.
The application process for I'm going to 1st go through the application process for continuing UCI students and some new student and some new students.
This is for students doing the online application and students that have not yet enrolled in summer. Some students will be able unable to apply for summer aid through our online application. I will be talking more about that shortly.
One side note, we get alot. We get questions about classes a lot for financial aid purposes. Which classes you enroll in for summer does not matter. We only look at how many units and which sessions you are enrolled in pass or no pass. Class classes do not affect your financial aid eligibility. The only way a class can impact your aid is if you are taking a class for the third time to improve a grade as classes can only be retaken once for a great improvement and still be eligible.
Finally, waitlisted classes do not count towards aid eligibility. You must be actually registered an in the class for the units to count. Another side note, you must enroll in at least 6 units to be eligible for any summer aid. Please do not submit a paper application to our office with less than 6 units because it will not be processed. If you wish to take just one class for summer or a combination of classes that total less than 6 units, then you will be ineligible for financial aid.
The financial aid application for the majority of students is an online application that we try to make available each March on the students. My eight account for the current aid here. If you have not yet enrolled in classes because you would like to use financial aid to pay towards your fees, it is a three business day process and I emphasize business because it's not three calendar days.
Day One is you would log into your my eight account and complete the application estimator steps one through 4.
This will generate an estimated budget in financial aid award that you will be eligible for based on the type of housing you reported in the estimator, as well as the number of units an session do reported that you plan on attending.
When you look at this, when it generates an estimated toward, Please note it is important to pay attention to what type of aid you are being awarded. Almost every student is going to be offered loans for the summer, and while there may be granted available, it may not be enough to cover your summer fees. Summer session will not see what type of aid you are getting. They will only see a lump sum of estimated aid, so it is up to you, the student, to see what type of aid you are getting and decide if enrolling in summer session is worth taking loans.
Day 2 overnight. The estimator data is transmitted to the summer session office and they will see that you have financial aid to pay for classes. So on day two of this process you will be able to enroll in classes without being charged.
Uh, please no, it is possible that the transfer of estimated the application estimator data did not work for some reason, or you applied after business hours in your data was not picked up. This happens on occasion.
If Summer is charging you, when we tried to, when you try to enroll, but you know you completed steps one through four of the financial aid summer estimator, then Please wait one more business day and try to enroll again day three again overnight. The Summer is session. Office will then transmit your enrollment data to the financial aid office when you log back into the summer application on your my eight account, the estimator should automatically be set to Step 5 similar to the note I just mentioned. If you doesn't take you to Step 5.
There may have been an error in trend in data transmission, so Please wait one more day if you know you already enrolled in classes, you must then complete steps five through nine of the estimator to finalize your aid, and then if you're interested in or need loans to help pay for summer, you must then also go.
Into your my aid award an except which loans you would like. Please note that step five of the estimator should reflect which units you enrolled in for summer. If you enrolled in a different amount of units or sessions than what you would reported initially on step one, then your aid will be adjusted and it may look different, but it should reflect your car.
The financial aid process for continuing students in some new students. If you are applying online and you've already paid before, you apply. If you already paid in and enroll in classes for summer before applying for aid, don't worry, you can still apply for eight at a later date and any age you are eligible for can be used to reimburse yourself or what was paid out of pocket. If you are eligible to use the estimator online and you've already enrolled in paid, the estimator will start you at Step 5.
And you can go ahead with finalizing and accepting your aid based on your enrollment information. The financial aid process for the paper application.
There are students who are not eligible to use the online estimator. This can be for a variety of reasons. Ultimately, if the estimator cannot be accurate, cannot accurately calculate your aid eligibility automatically, than a counselor in the financial aid office must manually process your summer aid application to ensure you receive the correct amount of aid. Students who fall in this category may include, but are not limited to, one students who will be new freshman or transfer students for the upcoming year at UCI.
And her possibly eligible for the program to students who did not attend UCI for fall, winter, or spring.
Three students who have withdrawn at any point during the academic year. Four students who may have limited federal loan eligibility and five students who are projected to not have enough completed units as required by their satisfactory academic progress standard by the end of spring quarter and I will talk about more on SAP or SAP in a little bit.
The paper application is made available at the same time as the online estimator and not before. This is because our awarding policies and funding have to be established internally before we can award anyone. So submitting a paper application because the online application isn't ready yet won't help you get awarded early.
If you are not able to complete the online estimator, then you must complete a paper application for summer aid which can be found on our website.
Once you have filled out the form, reviewed the terms and conditions of the application and signed and dated the bottom, you can fax or Mail the document to our office or once you know the University is open again, drop it off in person or are drop box.
Um, the paper application may take a bit longer to process in the online estimator, so please allow at least one to two weeks for our counselors to process your application and transmit your aid eligibility to summer sessions, thereby allowing you to enroll without pain. We do the best we can with the resources we have, but counselors have other responsibilities and jobs to do behind the scenes besides just awarding summer aid. However, if we are able to award within a day or two, we will.
Now I want to talk about the financial aid awards as mentioned at the beginning summer institutional aid that is aid made available by the University as opposed to the state or the federal government is much more limited than during the academic year. There are only two need based grants regularly offered by the financial aid office for summer. First is the Pell Grant. If you are a fax of Filer and are eligible for Pell Grant, this will be included in your award on based on how many units you are enrolled in.
Tell Grant requires at least 6 units to be eligible for a halftime or partial amount. If you are enrolled between 6:00 and 8:00 units for summer, you will receive a halftime Pell Grant. If you are enrolled in nine 211 units for summer, you will receive a three quarter time Pell Grant in full time. Enrollment is required to receive the full amount. You may be eligible for, which is 12 units in any given term at UCI, so if you are, if you are a Pell Grant recipient, please keep this in mind when thinking about enrolling in.
In applying for aid for summer as the number of units you take can impact the amount of Pell Grant that you receive.
There are some few exceptions for students who have not attended the full year who may be eligible for Pell Grant less than 6 units, but those are very rare cases and those are handled separately from this process.
Uh the summer UCI grant is the other major grant. If you are a FAFSA or California dream application file are you may be eligible for the UCI summer grant. However, just because you received the UCI grant during the academic year does not mean that you will be eligible for grant aid during the summer. The amount of the UCI summer grant is determined by you. CIS budgets and funding, as well as the amount of financial need of the student as determined by the Fasa or dream application.
For the 2019-2020 year the maximum UCI grant for summer was $1100.00. For the students with the most demonstrated financial need and then smaller tiered amounts are offered to students with less financial need, and these amounts can vary from year to year.
It is important to note that in order to receive the UCI grant for summer, a few requirements have to be met, one the student must enroll in at least 8 units for summer 2, current UCI students must have an on time application status for the current academic year, meaning the Fasa was submitted on time for the academic year prior to summer and any documents requested were also submitted on time 3. Current UCI students must submit their paper application.
Or complete steps one through 4 on the estimator no later than the mid. May summer application priority funding deadline. I say mid may because although the deadline this year and in previous years has been May 15th, it's possible this can vary in future years.
Everything I just said about being on time and submitting by the priority deadline and enrolling in eight units applies to new incoming transfer. An freshman students. The only difference is that the deadline for incoming students for upcoming fall who are taking summer for the first time. The deadline is for the summer grant is June 15th this year or mid June generally. Please note that the summary UCI Grint is initially set to offered unconfirmed status and this status will remain.
Until late May, once our office has confirmed how much funding we have for summer. Additionally, you must be enrolled in eight units or more at that time that the UCI grant is confirmed. Otherwise you may no longer be eligible to receive it. So if you have enrolled, for example.
In eight units, uh, in early May and finalize your aid and then in mid may you drop to 6 units. You may no longer be eligible for the UCI grant 'cause you're not meeting the requirements.
Um, please. Also note if you are a California dream applicant, the summary UCI grant is the only aid that can be offered to you for summer from our office. If the summary UCI grant is not enough funding, you may need to look out to outside resources or reconsider taking summer at all before committing to enrolling. If your file is late or you submit the summer aid application after the priority funding deadline, you will be ineligible for any aid for summer.
There are occasionally other grant sources for summer, but these are on a year to year case by case basis. An funding is not guaranteed.
I'm going to now talk about loans, um, after your grant eligibility. If you have any for summer. The rest of the aid offered will be loans. Federal loan eligibility is based on your grade level, your FAFSA information, and what you did or did not borrow during the academic year. A student who did not borrow any federal loans during the year may see a large sub student subsidized or understand or unsubsidized loan offered for summer and possibly a parent plus loan.
If you are dependent student.
A dependent student who borrowed as much student loans as they may be eligible for during the academic year. Macy only parent plus loan for them for summer.
This is again where I would say please review your summer aid offer carefully before committing to enrolling in summer classes, especially if you are adverse to borrowing loans or your parents or unable or unwilling to borrow the Parent. Plus loan. The majority of your aid for summer will likely be loans even for the neediest students. If we are unable to offer federal loans, you will be given the option to borrow an alternative loan and there is more information on the loan page of our website.
Regarding how to go about applying for an alternative loan.
If you and your parents are interested in the plus loan for summer, please review the my To Do List portion of your my eight account. You should do so anyway. The first time you ever take out a loan of any kind, review the my To Do List tab, but our office has recently changed procedures for how we process plus loan applications. If you accept a parent plus loan, we will send you an email with instructions on how to have your parent apply for the loan. There are a few other sources of funding. I'm going to briefly mention.
Uh, in very few cases, students who have remaining Cal Grant eligibility and are going to graduate no later than the following fall term.
Uh may also receive some Cal grant for summer. There are very few students who fit this category. Are summer 8 application will review your file for Cal Grant eligibility and if eligible will already include it in your financial aid award for summer. If you submit a paper application, are counselors will review for eligibility. Also, for students who receive the calvete waiver during the academic year, you may be eligible to receive this waiver for summer as well. You must submit a copy.
The current academic year letter from Calvert sitting your eligibility and you submit this to the summer session office so that they can apply the waiver to your fees.
Disbursement of aid. As with other terms at UCI, any leftover funding you have for summer after your aid pays your summer fees will be dispersed at the start of the term. Depending on how your Aiden fees are divided amongst the sessions, you may receive more disbursement funding for session two than the earlier sessions. In this case, you can submit a summer change of status form to our office and request that all of your leftover aid be disbursed at the beginning of your first session.
I want to Please note here this excludes the Pell Grant. Pell Grant will be divided evenly amongst the sessions regardless of requests made on the summer status form.
If you paid for summer out of pocket, your aid, once finalized and applied to yours on account, will replace the money you paid out of pocket and return that money back to the source, IE credit card or bank account that was used to pay that originally paid your fees.
I'm going to talk about satisfactory academic progress. I'm going to go into a bit of a detail here because it impacts summer so much, even though it's not always directly related. But so let me talk about satisfactory academic progress for a little bit. The federal government requires that schools ensure that each and every student who receives financial aid is meeting certain academic progress standards. Students who are meeting these standards are eligible for aid and students who do not meet these standards.
Will lose their eligibility unless they appeal their situation with the financial aid office and explain the reasons they have for not meeting the satisfactory academic progress or SAP standards established by the Department of Education and the University at UCI. We check every students progress at the end of each spring quarter. Students who are meeting S app will not be checked again until the next spring. Students who are not will become ineligible for aid.
Uh, unless an appeal is approved or they improve their academic standing to meets app on their own.
The four main measurements of progress at UCI are one GPA. Each student must have a 2.0 cumulative GPA at the end of each spring quarter, you can drop below 2.0 at the end of fall or winter, as long as you are at or above 2.0 cumulative by the end of spring.
A pace each student must pass an complete at least 2/3 of their classes.
Units each student must have completed a requisite number of units at the end of each year as posted on there my aid account.
And finally timeframe entering freshman generally have 15 quarters at UCI to receive institutional aid such as the UCI Grant and 18 quarters. To receive all other federal aid.
Entering transfers to generally have nine quarters and 12 quarters, respectively. There are some exceptions. Once you have met or exceeded these limits, you are no longer eligible for that type of aid unless you appeal your situation with their office and we determined that you may be eligible for additional terms. You can review your essay P requirements on your my eight account and it is recommended, especially that you track the units you need to complete by the end of each upcoming spring quarter.
As well as how many terms you have left before your aid eligibility disappears.

The impact of SAP on summer students who are below a cumulative 2.0 GPA when they apply for summer can still be awarded for some return, but ahold will be placed on their aid until their GPA is verified to be at or above 2.0 cumulative at the end of spring quarter. If it is not, their aid will be terminated and they will be responsible for paying for summer aid out of pocket unless they appeal and are approved by our office.
Students who at the end of spring term will not have completed the requisite number of units, will not be able to complete the online application and can only have a paper application process for aid if they submit an essay P appeal to our office and are approved.

Students who at the end of spring term will not have any institutional terms remaining, will not receive UCI grant if there are no federal terms remaining than the student will not be eligible for any aid without an improved appeal for SAP on file.
The ASAP appeal information and instructions can be found on our website. Please allow up to two weeks for our counselors to review and process or request more information or supporting documentation from you if necessary. Appeals are not guaranteed to be approved in. All decisions are final, so if you're sappy, appeal is denied, then you will be ineligible for aid for that term.
A common question we get is the impact of summer on future years. ASAP timeframe measures progress towards degree, not terms in which you receive financial aid. Since taking summer classes advances your progress towards receiving your degree, it counts as far as your maximum SAP time frame is concerned. If you take 10 units or less for summer, it will count as 0.5 terms used. If you take more than 10 units or or excuse me.
If you take more than 10 units, it will count as one term used. Additionally, there are federal lifetime limits on the amount of undergraduate loans a student can borrow, and the amount of Pell Grant is student can receive. So please keep this in mind, especially if you a plan if you have attended or plan to attend college more than four or five years.
Changes to enrollment. We understand that plans change and students may want to change their classes and enrollment after they have already finalized and accepted their aid. That is fine. It is highly recommended that you submit a summer status form which can be found on our website. Two our office via fax or Mail or again, once the University is open to drop it off in person or drop box and then please and then with that form let us know what your new enrollment information is.
Please do not submit the form until um.
Yeah, please do not submit the form until you have finalized your enrollment changes. With summer we cannot process a change of status form if you have not actually yet change your enrollment status.
Changes in enrollment can place holds on your account. We run reports on a weekly basis and can see which accounts have holds and we will work diligently to do what we can to make sure your aid for summer is accurate and that the holds are removed. That being said, changing your units for the session or the sessions you are attending can affect your aid eligibility.
